CentralWize is an AI talent staffing service operated by CentralWize, Inc. We help candidates demonstrate AI-native skills through real-world challenges, and we help employers identify, evaluate, and hire qualified talent. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit centralwize.com, create an account, submit information, complete a challenge, request employer services, or otherwise interact with CentralWize.
By using CentralWize, you acknowledge that your information will be handled as described in this Privacy Policy. If you do not agree with this policy, you should not use the service.
1. Information We Collect
We collect information you provide directly, information generated when you use the platform, and limited information from service providers that help us operate CentralWize.
- Candidate profile information. This may include your name, email address, phone number, location, work authorization, employment preferences, compensation expectations, portfolio links, skills, work history, education, certifications, references, and other information you choose to provide.
- Resumes and supporting materials. Candidates may submit resumes, cover letters, work samples, GitHub links, project materials, writing samples, or other documents used to evaluate fit for roles and challenges.
- Challenge submissions. We collect challenge answers, files, code, documents, prompts, workflows, screen recordings if requested, timing data, metadata, reviewer notes, scores, and other materials related to timed, real-world assessments.
- Employer inquiry and search information. Employers may submit contact information, company details, role requirements, hiring timelines, compensation bands, interview processes, confidentiality needs, billing information, and feedback on candidates.
- Account and authentication data. We use Firebase/Google Identity Platform for authentication. We may receive identifiers, email verification status, login timestamps, and related account security information.
- Usage, device, and log data. We may collect IP address, browser type, operating system, device identifiers, timezone, pages viewed, referring URLs, session activity, access times, error logs, and security events.
- Communications. If you email us, schedule with us, respond to outreach, or communicate through the platform, we may keep those messages and related metadata.
- Payment and contracting information. For employer customers, we may collect billing contacts, contract records, invoice details, payment status, and transaction information. Payment card details are processed by our payment provider.
We may receive information that qualifies as sensitive personal information under applicable law, such as work authorization status, national origin, or other details voluntarily included in resumes, profiles, or communications. We use this information only to evaluate fit for roles, comply with employment and immigration law, and operate the staffing service. We do not use sensitive personal information for profiling or advertising purposes.
2. How We Use Information
We use information to provide and improve CentralWize, run candidate evaluations, support employer searches, and protect the integrity of the platform.
- Creating, maintaining, securing, and supporting user accounts.
- Reviewing candidate profiles, resumes, portfolios, challenge submissions, and work samples.
- Matching candidates with employer searches, shortlists, interviews, placement opportunities, retainers, and enterprise hiring programs.
- Designing, administering, scoring, auditing, and improving timed challenges and other evaluation workflows.
- Sharing candidate materials with employers where appropriate for evaluation, interview, hiring, contracting, or placement decisions.
- Communicating with candidates and employers about accounts, submissions, interviews, services, contracts, payments, and support.
- Detecting fraud, cheating, security incidents, platform misuse, and violations of our Terms of Service.
- Improving platform functionality, scoring consistency, user experience, operations, analytics, and business performance.
- Complying with legal obligations, enforcing agreements, resolving disputes, and protecting the rights, property, and safety of CentralWize, users, employers, and others.
3. AI Processing and Evaluation
CentralWize uses AI systems, including the Claude API (Anthropic) and the OpenAI API, to help evaluate challenge submissions and candidate materials. AI may help summarize a submission, compare it to challenge criteria, identify strengths and weaknesses, flag possible inconsistencies, generate scoring rationale, and assist human reviewers.
AI scoring is used as an evaluation aid, not as the only decision maker. Human evaluators may review candidate materials, challenge outputs, scoring explanations, employer requirements, and other context before candidates are advanced, shortlisted, or recommended. AI outputs can be imperfect, and CentralWize may review, adjust, or disregard AI-generated assessments.
Candidate submissions, profile materials, and related metadata may be sent to AI service providers for processing. We use these providers to operate the service and evaluate submissions. We do not sell candidate profiles, challenge work, or employer search information.
If you are located in the European Economic Area or the United Kingdom, you have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects on you. CentralWize does not make placement, shortlisting, or advancement decisions based solely on automated AI scoring. Human reviewers are involved in evaluation decisions that affect whether candidates are advanced or recommended to employers.
We do not use candidate submissions or profile data to train general-purpose AI models. We may use anonymized or aggregated evaluation data to improve our scoring criteria, challenge design, and evaluation quality.
4. How We Share Information
We share information only as needed to operate CentralWize, provide staffing services, comply with law, and protect the platform. We do not sell personal information.
- With employers. If you are a candidate, we may share your profile, resume, portfolio, challenge submissions, scores, summaries, reviewer notes, availability, compensation expectations, and related information with employers evaluating you for a role or talent search.
- With candidates. If you are an employer, we may share relevant role information, interview requirements, search context, and hiring process details with candidates where appropriate.
- With service providers. We use vendors that help with hosting, authentication, cloud infrastructure, security, AI processing, scheduling, payments, communications, analytics, and customer support. These providers may process information on our behalf.
- For legal and safety reasons. We may disclose information when required by law, subpoena, court order, government request, or when we believe disclosure is necessary to protect rights, safety, security, users, employers, or the integrity of the service.
- Business transfers. If CentralWize, Inc. is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to appropriate protections.
5. Third-Party Services
CentralWize relies on third-party services to operate securely and efficiently. These services process information under their own terms and privacy practices, and may include:
- Firebase/Google Identity Platform for authentication, account security, and identity management.
- Google Cloud Platform for hosting, storage, infrastructure, databases, logging, and related cloud operations.
- Claude API (Anthropic) and OpenAI API for AI-assisted evaluation, scoring, summarization, and reviewer support.
- Cloudflare Turnstile for bot detection, abuse prevention, and service security.
- Calendly for scheduling candidate, employer, intake, and support meetings.
- Stripe for employer payments, invoicing support, and payment processing.
6. Cookies and Tracking
We and our service providers may use cookies, local storage, pixels, device identifiers, and similar technologies to keep you signed in, remember preferences, secure the service, prevent fraud, measure usage, improve performance, and understand how users interact with CentralWize.
You can usually control cookies through your browser settings. Blocking certain cookies may affect authentication, scheduling, security checks, payment flows, or other platform functionality.
CentralWize does not currently respond to Do Not Track browser signals. We are not aware of a uniform standard for recognizing or honoring DNT signals, and we will update this section if an industry standard is adopted that we follow.
7. Data Retention
We retain information for as long as reasonably necessary to provide the service, evaluate candidates, support employer searches, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect the platform.
Candidate profiles, resumes, challenge submissions, scores, and reviewer notes may be retained so we can consider candidates for future searches, audit evaluation quality, respond to support requests, and maintain placement records. Employer search details, contracts, invoices, and communications may be retained for business, legal, tax, and compliance purposes. When information is no longer needed, we may delete, aggregate, or de-identify it.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, and alteration. These safeguards may include access controls, authentication, cloud security controls, logging, monitoring, and vendor security practices. No system is perfectly secure, and we cannot guarantee that information will always remain secure.
9. Your Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of certain personal information. You may also have the right to object to certain processing or withdraw consent where processing is based on consent.
To make a request, contact us at support@centralwize.com. We may need to verify your identity and account relationship before responding. Some information may be retained where permitted or required by law, including records needed for fraud prevention, legal compliance, dispute resolution, payment records, contracts, or legitimate business operations.
We will acknowledge your request and respond within a reasonable timeframe consistent with applicable law.
10. California Privacy Rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, may provide rights to know, access, correct, delete, and limit certain uses or disclosures of personal information. You may also have the right not to be discriminated against for exercising your privacy rights.
CentralWize does not sell personal information. We also do not knowingly share personal information for cross-context behavioral advertising as those terms are defined under California law. To exercise California privacy rights, contact support@centralwize.com.
The categories of personal information we may collect include: identifiers (name, email, IP address), professional or employment-related information (work history, resume, title, work authorization), internet or electronic network activity (browsing history, log data, device information), education information, and inferences drawn from the above. In the preceding 12 months, we have not sold personal information and have not shared personal information for cross-context behavioral advertising.
You may also designate an authorized agent to make a request on your behalf. We may require verification of the agent's authority before responding.
Residents of other US states with comprehensive privacy laws, including Colorado, Connecticut, Virginia, and others, may have similar rights. To exercise any privacy right available under applicable state law, contact support@centralwize.com.
11. International Users
CentralWize is operated from the United States. If you access the service from outside the United States, your information may be processed, transferred, and stored in the United States and other countries where our service providers operate. These locations may have privacy laws that differ from those in your jurisdiction.
Where required, we rely on appropriate legal bases for processing, such as performance of a contract, legitimate interests, consent, or compliance with legal obligations. You may contact us at support@centralwize.com with questions about international data transfers or privacy rights.
12. Children's Privacy
CentralWize is not intended for individuals under 18 years old. We do not knowingly collect personal information from children under 18. If you believe a minor has provided information to CentralWize, contact us at support@centralwize.com and we will take appropriate steps to review and delete the information where required.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we may update the date above, post a notice on the website, or provide another notice as required by law. Your continued use of CentralWize after an updated policy becomes effective means you acknowledge the updated policy.
